What a packing slip is for

A packing slip, also called a packing list or delivery note, goes inside the parcel and lists what was packed. The customer uses it to check that everything arrived. Your packer uses it as a checklist, and if something goes missing it shows what left your warehouse.

It is different from an invoice. An invoice asks for payment and shows prices and tax; a packing slip shows only items and quantities. That is why this generator has no price fields. It also means the slip is safe to send with gift orders, where the recipient should not see what was paid.

Partial shipments and back-orders

When you cannot ship a whole order at once, send what you have and say clearly what is still to come. For each line, enter the quantity ordered and the quantity in this box. The difference is shown as back-ordered on the slip, with a total for the shipment, so the customer does not think items are missing.

When the rest ships, make a second slip for the same order number with the remaining quantities. Keep both so you can answer any "where is the rest of my order" questions quickly.

Back-ordered = Quantity ordered − Quantity shipped Units in this box = Σ Quantity shipped

What to put on a packing slip

A useful slip has your business name and contact details, the delivery name and address, the order number and dates, the shipping method, and one line per item with a SKU or product code. SKUs make picking and returns faster because two similar products are never confused.

Use the note for return instructions: the time limit, the address or how to request a return label, and the order number to quote. Return rules differ between countries, so state your own policy and check the consumer rules where your customers live.

Shipping abroad

For international parcels, customs usually needs a commercial invoice or a customs declaration showing values, not just a packing slip. Many carriers ask you to attach those outside the parcel in a document pouch. Check your carrier's requirements for each destination. A packing slip inside the box is still useful for the customer.

Example packing slip

An online shop packs order 1042. One product has run short, so only part of it ships today.

MUG-12-BLU, ceramic mug: ordered 2, shipped 2Shipped in full
TEA-LOOSE-100, green tea 100 g: ordered 3, shipped 1Back-ordered: 2
CST-SET-4, cork coaster set: ordered 1, shipped 1Shipped in full

The customer sees that 4 of 6 units are in the box and that 2 packs of tea will follow in a separate shipment.

Frequently asked questions

Should a packing slip show prices?

Usually not. A packing slip is a list of contents, so most sellers leave prices off, especially for gifts. If the customer needs the amounts, send an invoice or receipt separately.

What is the difference between a packing slip and an invoice?

An invoice is a request for payment with prices, tax and a total. A packing slip goes in the box and lists the items and quantities shipped. One order can have one invoice and several packing slips if it ships in parts.

Is a packing slip the same as a shipping label?

No. The shipping label goes on the outside of the parcel and tells the carrier where to deliver it. The packing slip goes inside and tells the customer what is in it.

How do I show items that will ship later?

Enter the full quantity ordered and the smaller quantity you are shipping now. The slip marks the line as back-ordered with the number still to come, and adds a note that it will be sent separately.

Is this packing slip generator free?

Yes. There is no sign-up, no limit and no watermark. Your draft and logo are saved only in this browser.
