An invoice asks for payment; a receipt confirms that payment was made. Send an invoice before you are paid and a receipt after. For a sale paid on the spot, a receipt alone is enough.
Include your business name, the date, a receipt number, what was paid for, the amount paid and how it was paid, for example "Paid by card" in the notes. If you charge sales tax or VAT, show the tax amount and your registration number.
If a customer pays a deposit or one instalment, enter the full order as the items and the amount actually received in "Amount paid". The receipt then shows the total, what was paid and the balance still owed, so both of you have the same record.
Give every receipt its own number, even for small amounts. A simple running sequence such as R-0001, R-0002 makes it easy to find a payment later and to match it to your bank statement.
Balance = Total − Amount paid
Tax authorities expect businesses to keep records of income for several years. Common periods are around three to seven years depending on the country and the type of record, so check the rule where you file taxes. Saving each receipt as a PDF in a dated folder is the simplest way to keep them.
A bakery records a paid order for a celebration cake with 5% tax.
| Celebration cake, 1 × $64 | $64.00 |
| Tax (5%) | $3.20 |
| Total | $67.20 |
| Paid | $67.20 |
| Balance | $0.00 |
The customer gets proof of payment showing the tax and a zero balance.
